
Terms & conditions for instrumental lessons in secondary schools
September 2025 to July 2026
Lesson Delivery
Newcastle Music Service will provide instrumental lessons for up to 36 weeks during the academic year. The number of lessons per term may vary depending on term length. Each invoice will clearly state the number of sessions scheduled.Lesson Duration and Cost
Lessons are 30 minutes long and take place weekly. Lesson costs are as follows:Individual Lessons: £20 per lesson, £720 in total for the year;
Paired Lessons (two in a group): £10.50 per lesson, £378 in total for the year;
Group Lessons (no more than three in a group): £6.80 per lesson, £245 in total for the year.
Invoicing and Payment
Parents will be invoiced at the beginning of the academic year. Pupils may not attend lessons unless payment has been received on time, unless prior arrangements have been made.Instrument Hire and Insurance
Parents must ensure that any instrument hired from Newcastle Music Service is covered under their home insurance policy. All hired instruments must be returned when no longer required.Learning Materials
Parents may be asked to purchase music books or sheet music to support their child’s learning.Withdrawal from Lessons
As tutors’ time is booked in advance, refunds (full or partial) cannot be issued if a pupil withdraws mid-term. If you wish to discontinue lessons, written notice must be sent to SISMusicHubAdmin@newcastle.gov.uk with at least half a term’s notice.Missed Lessons
Missed lessons due to pupil absence (e.g. forgetfulness, illness or school trips) cannot be refunded. Lessons missed due to tutor absence will be rescheduled where possible. If this isn’t possible, the lesson will not be charged for. Parents will be notified if a pupil misses two or more lessons in a term. If Newcastle Music Service is unable to deliver the full number of lessons in a term, a credit will be applied to a future invoice.Notification of Absence
Parents should inform the tutor in advance if their child will miss a lesson. Tutors will try to reschedule where possible, but this may not always be feasible due to group arrangements. Refunds are not available for missed lessons.School Event Clashes
If a lesson coincides with a school event, we will attempt to reschedule. However, due to tutors’ limited availability, this may not always be possible. If you decide not to take part in the music lesson, refunds are not available.Practice Expectations
Pupils are expected to practise regularly (15 minutes per day is usually sufficient) and to bring their practice diary to each lesson. The diary should be used by both tutor and parent to support communication. Practice diaries will usually include an email address for the tutor should you need to get in contact with them.Communication
Newcastle Music Service may contact parents or guardians via email. In line with our safeguarding policy, all communication with tutors must be made by a parent or guardian—not the student directly.Data Protection
All data is securely held by Newcastle Music Service and Newcastle City Council. Our privacy notice can be found online at www.newcastle.gov.uk/local-government/access-information-and-data/open-data/privacy-notice. Parents/carers will only be contacted regarding billing, tuition, and workshop-related matters. Data may be shared with schools to support lesson delivery. Tutors will have access to relevant data to facilitate music lessons.
